A receipt is the document a business gives someone who has just paid it. It is short, but it settles more arguments than any other piece of paper: the tenant who already paid, the customer who wants to return something, the tax officer asking what a credit on your statement was for. This guide explains what a receipt should show in Nigeria, the difference between payment, sales, cash and rent receipts, how VAT appears on one, and how long to keep them.

How to use the receipt generator

  1. Pick the receipt type. Payment and sales receipts suit most businesses; choose cash receipt for money handed over in person, and rent receipt if you are a landlord or agent collecting rent.
  2. Enter your own details as the person or business that received the money: name, address, phone and, if you have one, your TIN. Your name appears as the issuer on the receipt.
  3. Enter who paid you, the receipt number and the date the money arrived.
  4. Choose how they paid: cash, bank transfer, POS, cheque or mobile money. Add your own reference, such as the invoice number the payment settles.
  5. Enter a single amount with a short “being payment for” line, or list items with quantities and prices for a sales receipt.
  6. Add VAT only if you are VAT-registered, record any balance still owed, then download the PDF and sign it.

What a receipt must show in Nigeria

No single law prescribes a receipt layout for every business, but good practice and the tax rules point to the same list. Our longer guide to receipt templates for Nigerian businesses covers each point; in short, a receipt should carry:

  • The word “Receipt” and a unique number from a single running sequence.
  • The date the payment was received.
  • Your business name, address and contact details, and your TIN if you have one.
  • The name of the person or business that paid.
  • The amount in figures and in words. Words stop ₦50,000 being altered to ₦500,000.
  • What the payment was for, and the invoice number if there is one.
  • How it was paid.
  • The VAT included, if you are VAT-registered.
  • A signature or the name of the person who issued it.

The generator writes the amount in words for you, in naira and kobo, and fills in the rest from what you type.

Payment, sales, cash and rent receipts

All four acknowledge money received. They differ in what else they need to record.

Which receipt to use
Receipt typeUse it forExtra details to include
Payment receiptA client paying an invoice, a deposit or an instalmentThe invoice number it settles and any balance still owed
Sales receiptGoods sold over the counter or deliveredEach item, quantity and price; your returns or exchange policy
Cash receiptMoney handed over in personWho handed it over and who received it; both should sign if possible
Rent receiptRent from a tenantLandlord and tenant names and addresses, the premises and the period covered

Cash receipts deserve the most care because there is no bank record behind them. Issue one every time, keep your copy, and record the cash in your cash book the same day.

Rent receipts and the Lagos Tenancy Law

The Tenancy Law of Lagos State 2011 requires a landlord to issue a receipt when rent is paid, and says what it must show: the date, the names and addresses of the landlord and tenant, a description of the premises, the amount paid and the period it covers. Failing to issue one is an offence. The rent receipt option in this generator asks for every one of those details, and the same layout works in any state.

If the tenant is a company, it will usually deduct 10% withholding tax from the rent and hand the landlord evidence of the deduction. The landlord claims that amount against their own tax. Tick the WHT option on a rent receipt to show the gross rent, the WHT deducted and the amount actually received.

VAT on a receipt

Only VAT-registered businesses charge VAT, and registration becomes mandatory once taxable supplies reach ₦25,000,000 in twelve months. If you are registered, show the 7.5% VAT included in the amount so a business customer can account for it. When the price already includes VAT, the VAT inside it is the amount × 7.5 ÷ 107.5: on ₦53,750 that is ₦3,750. The VAT calculator handles one-off checks, and how to calculate VAT in Nigeria explains both directions.

Separately, the Ninth Schedule to the Nigeria Tax Act 2025 sets a fixed ₦50 stamp duty on a receipt for ₦10,000 or more. For transfers, the bank collects the electronic duty from the sender; it is not something you add to your customer’s total. The receipt templates guide sets out the exemptions.

Receipt or invoice?

An invoice asks to be paid; a receipt confirms that you were. For work done on credit, issue the invoice first with the free invoice generator and the receipt when the money arrives, quoting the invoice number. For an on-the-spot sale with no invoice, the receipt is the only document, so make it complete. Before either, a quotation agrees the price.

A receipt is not proof of a bank transfer

A receipt is issued by the person or business that received the money. It records that you, the issuer, accept that you were paid. It is not a bank document and it does not prove that a transfer happened; only the bank statement or the bank’s own confirmation does that. That is why this generator puts your name on the receipt as the issuer and does not imitate any bank or payment app. Never issue a receipt for money you have not received, and never use one to pretend a payment was made. That is fraud, and it is the first thing a dispute or an audit uncovers.

Numbering, corrections and how long to keep receipts

  • Use one numbering sequence per receipt type and never reuse a number.
  • If a receipt is wrong, mark it VOID, keep it, and issue a new one. Do not edit the old one.
  • Give the payer the original and keep your own copy as a PDF.
  • Match every receipt to a bank credit or a cash-book entry the same week.

Section 31 of the Nigeria Tax Administration Act 2025 requires books and records, receipts included, to be kept for at least six years after the year of assessment they relate to, whether or not tax is due. Nigerian law recognises electronic records as evidence, so a PDF receipt sent by email or WhatsApp is a valid record; keep the original file rather than a screenshot. If you also pay for things on behalf of the business, the expense report template keeps the receipts you collect in order.

Let the paid invoice do the work

If you invoice through ereQa, you often do not need a separate receipt. Clients pay you directly by bank transfer and tap “I’ve paid” on the invoice link, which tells you to check your account. When you mark the invoice paid, its link and PDF show it as paid, and part-payments are recorded against it with a running balance. The Free plan includes 5 invoices a month, with no card needed.

Questions

Frequently asked

How do I make a receipt for a payment?

Write “Receipt”, a receipt number and the date, then your business name and contact details as the issuer. Add who paid, the amount in figures and in words, what it was for, how it was paid and any balance still owed, then sign it. The free receipt generator on this page fills in the amount in words and produces a PDF.

What should a payment receipt contain in Nigeria?

A receipt number, the date, your business name and contact details, your TIN if you have one, the payer’s name, the amount in figures and words, what the payment was for (with the invoice number if there is one), the payment method, the VAT included if you are VAT-registered, and a signature or the issuer’s name.

What must a rent receipt include in Lagos?

Under the Tenancy Law of Lagos State 2011, the date, the names and addresses of the landlord and tenant, a description of the premises, the amount paid and the period the payment covers. A landlord must issue one when rent is paid.

What is a cash receipt?

A receipt for money paid in cash. Because there is no bank record behind it, it should name who handed the money over and who received it, be signed, and be entered in the cash book the same day.

Can a receipt be used as proof of a bank transfer?

No. A receipt is issued by whoever received the money and records that they accept they were paid. Only a bank statement or the bank’s own confirmation proves a transfer. Issuing a receipt for money that was not received, or to make it look as though a payment was made, is fraud.

Do I need to add VAT to a receipt?

Only if you are registered for VAT, which is mandatory once taxable supplies reach ₦25,000,000 in twelve months. If you are registered, show the 7.5% VAT included in the amount so a business customer can account for it.

How long should I keep receipts?

At least six years after the year of assessment they relate to, under section 31 of the Nigeria Tax Administration Act 2025. A PDF copy is a valid record; keep the original file and a backup.
