  1. The monthly review includes a financial health score (0-100), cash flow summary, top spending categories, anomaly flags, duplicate payment detection, and 3 actionable recommendations specific to your business.

The monthly review is the thing owners intend to do and almost never do, because reading a profit and loss statement is a skill and staring at one without that skill produces nothing. The useful output is not the statement — it is the three sentences someone would say to you after reading it.

What a review should surface

  • What changed against last month, and whether the cause is a one-off or a trend.
  • Anything anomalous: a category that doubled, a duplicate charge, a subscription nobody uses, a client whose payment pattern shifted.
  • Where the money actually went, ranked, rather than an alphabetical list of categories.
  • What is outstanding and how old it is, because receivables ageing is the number most often ignored until it hurts.
  • What the next month looks like given what is already contracted.

What it cannot do

It reads your records; it does not know your business. A doubled marketing spend is an anomaly to the system and a deliberate campaign to you. A client who stopped paying may have gone quiet or may have agreed a payment plan you never recorded.

Treat the output as a list of things to look at, not a list of things that are wrong. The value is in surfacing what you would not have noticed, and that only works if the records are complete — which is the real argument for capturing expenses as they happen.

Making the monthly review a habit

  1. Do it on a fixed day, early in the month, for the month just closed.
  2. Reconcile first. A review of unreconciled records reviews the wrong numbers.
  3. Read the anomalies before the totals — the totals rarely change your behaviour, the anomalies sometimes do.
  4. Write down one action. A review that produces no decision was entertainment.
  5. Keep the reviews. Twelve of them side by side show a trajectory that no single month does.
