Stop manually creating the same invoice every month. Set up your retainer clients in ereQa and it handles everything — automatic invoice creation, sending, reminders, and payment tracking. Zero monthly effort.

Sound familiar?

The everyday friction this replaces.

  • Forgetting to send the monthly retainer invoice
  • Manually creating the same invoice every month
  • Chasing clients for recurring payments awkwardly
  • Losing track of who has paid and who hasn't

Step by step

How it works

01

Add Your Retainer Client

Create a client profile with their billing amount, currency, and schedule (monthly, weekly, quarterly).

02

Set the Schedule

Choose when invoices go out — e.g. "1st of every month". Set start date, end date, or run indefinitely.

03

ereQa Does the Rest

Invoice is automatically generated and sent on the scheduled date. Auto-reminders follow if unpaid.

04

Track in Your Dashboard

See all recurring clients, payment status, and next billing dates at a glance. Get paid on autopilot.

Predictable revenue is only predictable if it is actually billed. The commercial problem with retainers is not pricing or scope; it is that the invoice depends on somebody remembering, every month, forever.

What a retainer is really buying

From the client's side, a retainer buys availability and a predictable cost. From yours, it buys a revenue floor you can plan against and a relationship that does not need to be re-sold every project. Both of those are undermined by irregular billing, which turns a predictable arrangement back into an ad-hoc one.

Structuring one that lasts

  • Bill in advance for the coming period. Retainers are for availability, and availability is booked ahead.
  • Define what unused capacity does — rolls over, expires, or is credited. Leaving it undefined is the most common cause of a retainer ending badly.
  • Set the overage rate in advance so extra work is a rate, not a negotiation.
  • Put a review date in the agreement. A scheduled price conversation is much easier than an unscheduled one.
  • Include a notice period on both sides, so the revenue floor is real for planning purposes.

Subscription mechanics for a Nigerian business

Collecting recurring payments in naira means Paystack, Flutterwave or Bani rather than a card processor built for another market. Failed payments are routine — expired cards, daily transfer limits, bank downtime — and the difference between a healthy subscription base and a leaky one is whether the retry and the follow-up happen automatically.

Treat the first failure as administrative and the second as a signal. Most first failures recover with a reminder and a fresh link.

Reading the numbers honestly

Recurring revenue introduces a gap between cash and earnings that one-off work does not have. An annual plan paid in January is twelve months of service, and counting it as January revenue makes January look extraordinary and February look like a collapse. Recognising it across the period it covers is what makes month-on-month comparison mean anything.
